In Partner Portal, it is possible to have multiple locations within one studio.

Additionally, If you have more than one billing account for all of your locations, you automatically have multiple studios in Partner Portal.

In this article, we explain how the set-up with multiple locations and multiple billing accounts changes for you. You will learn how to edit individual locations, how to add events to the locations, how to switch between different accounts and studios, how to add staff if you have more than one billing account

How can I give my staff access to my locations if I have one billing account?

In the studio section in the left menu bar, go to staff. Here you can add, edit, archive, reactivate or delete the staff for your locations. Click on "+ Add" to add a new staff member or trainer to this studio.

How is the setup with multiple billing accounts?

If you have more than one billing account in Urban Sports Club, you automatically have multiple studios in the Partner Portal. A studio contains all the locations that share the same invoice/billing account. It is important to understand, that a studio is not the same as a location. Locations are listed under a studio.

You can select the studios (locations under one billing account) via two options:

  1. If you are the owner of the organisation (Organisation manager) you have access to the organisation dashboard. Click on “Organisation overview” in the left menu bar and go to the organisation dashboard.

  1. If you are a studio manager (full access) or have restricted or trainer access to multiple locations that belong to different studios/billing accounts, you can change the studio by clicking on your name on the top right and “Change Studio”. From there, you can select the studios you have access to.

If you are an organisation manager, you can also add new employees and trainers from the organisation dashboard and assign them to (multiple) studios. To do this, simply click on "Add" in the "Your employees" section.

If your studio has several billing accounts, please add staff from here, if your employees should get access to more than one studio. Please make sure that your employees have sufficient permissions. You can read about the different permission types in this article.

Where can I edit the profiles of my locations?

Go to your Studio section in your left menu bar and click on "Locations". Here you will find all your locations/profiles in a list. Click on a location/profile of your choice to edit the Urban Sports Club location profile. In another article, we explain how you can edit individual locations. If you have more than one billing account for all of your locations, you automatically have multiple studios in the Partner Portal. A studio includes all your locations that run under one billing account. In that case, you can select your studios in the organisation dashboard by clicking on the desired studio. Click on "Organisation overview" in the left menu bar to go to the organisation dashboard.

If you don’t have the Organisation Manager access role, but have access to multiple studios, you will find the possibility to switch between the studios at the top right, when you select “change studio”

The single locations of that studio, you can then find as described above in the studio section under “Locations”

How can I assign events to my locations/profiles?

Create a new event by clicking on "+New Event" in the upper right corner of your course schedule, calendar, or event overview. Alternatively, you can simply click on your preferred time and day in the calendar, and you can create an event. Select whether you want to create an event or free training. In the general information, you can assign your event to a location/profile under locations. In case you have more than one billing account and therefore more than one studio on Partner Portal, please make sure you are in the correct studio, to be able to select it for the class you’re adding. How do I see the events from a location/profile?

In your schedule, you can see the location of the event directly below the title of the course:

In your calendar, you can use the filter button in the top right corner to filter your events by location. Click on any number of locations, and you will see all events that belong to these locations. In case you have more than one billing account and therefore more than one studio on Partner Portal, please make sure you are logged in in the correct studio, in order to see the right locations.

In your event overview, there is an extra column for your locations. Here, you can also use the filter option to filter your events by location.
