Are you a trainer in a studio with access to FitogramPro? In this article, we’ll explain the most important functions you need in order to use FitogramPro.

If you like, you can also print out this information so that it’s always at your fingertips in the studio. 

Functions with Trainer Access OR Limited Access:

View and log in to software 

You can call up the software at https://app.fitogram.pro/signin. There you can log in with the login data you received and have immediate access to FitogramPro.

Which customers have booked my event?

On the start page, you can now see all of your upcoming events.  You can also see at a glance which customers have already booked online. Click on the event for which you would like more information in the overview on the left. On the right-hand side you can now see all customers who have already signed up. 

How can I book in new customers for my event? 

You can access the check-in area from the start page. Simply click on the corresponding event to show the check-in area on the right.

Check-in existing customers

If customers have already been created, they can easily be searched for in the check-in area and added to the event. Simply click on "Select a customer to check in". Typing the name will help you search.

Once the customer has been found, all you have to do is click on them.

Check in new customers

If a customer is not yet in the customer list because they are entering your studio for the first time, you can easily create them and check them in at the same time. Click on the green "Check in New Customer" button.

A new window will open, in which you can enter their first name, last name, email address and telephone number. First and last name are mandatory. Once these have been entered, you can click "Check in now".

How can I mark a customer as present or absent?

If the studio owner would like to create an overview of the present and absent customers or if you would like to see who was really there and who wasn’t, you can note the presence of your customers. You can do so by clicking on the thumbs up or thumbs down icon in the check-in area on the far right.

How can I remove a customer from my event?

Has a customer informed you in time and cancelled their event? If they haven’t done this online, you can still do it easily on site.

With a credit pass or “Single Lesson” product (e.g. trial lesson), you can choose whether the point is credited or not.

If the credit is refunded, the customer can take part in an alternative appointment at a later date. 

If the credit is not refunded, the customer loses a point on their credit pass or cannot reuse their “Single Lesson” product.

How can I sell products to my customers?

Your customers don’t yet have a product (contract, credit pass, drop-in) and would like to buy it directly from you? Then you can easily add the product for the customer. To sell a product in the check-in area, first book this customer into the corresponding event. If the customer has no valid product for this event, the "Add Product" button will appear.

By clicking on the button, a product can be directly selected and sold. A dropdown menu will open. Click on "Select Product" to select a new product. You can then select the time and payment method. The sale is completed with "Apply" and the customer is directly booked in for the sold product.

How do I get to the customer profile?

You can either search for the customer in the upper right-hand corner using the search bar or you can click on Customers in the menu on the left and select any customer directly.

You can see the following points in the customer profile:

  • Events that the customer has booked

  • Current and past products of this customer

  • Customer details (email, address, phone number...)

  • Emails received by the customer

  • Open payments for this customer

How do I sell a new product to the customer via their profile?

You can also sell a new product to the customer via the customer profile. Click on the “+ New Product” button at the top.

A menu will then open where you can select which product the customer wants to buy, when they want to buy it and how they want to pay for it.

How can I book the customer into an event via their profile? 

You can directly book the customer into the desired events by clicking on the “Check In” button.

 

How can I mark a payment as paid in the customer profile? 

A customer brought the money to the course and now you want to make a note of it on their profile? 

Click on the “New Payment” button.

There you can select the amount which the customer gave you.

How can I invite the customer to book online? 

Want your customer to make their own online bookings? Then invite them directly to the online booking system by using the “Invitation” button. They will automatically receive an email.

In any case, the customer will need an email address for this. This address must be stored in their profile. If no email address has been entered, you can add it in the top right corner by clicking on “Details/Edit”.

How can I create an invoice for the customer? 

To create and send the customer an invoice for the purchased product, click on the corresponding product. This will open more information about the product. Among other things, you will see the “Create Invoice” button.

You can now create the invoice with this button.

After you have created the invoice, you can also send it by email to the customer.

How do I customise an already sold product? 

Do you have a customer who doesn’t want to pay full price for the product or for whom you want to adjust the expiration date? Then click on the “Product Details” button to sort this.

You can create some individual settings for this customer in this menu. WARNING: Only adjust the price if the product has not yet been paid for.
